Administrative & Support Staff

Endless Welfare Foundation is seeking a dedicated, organized, and proactive Administrative Officer / Admin Assistant to provide comprehensive administrative and operational support across all departments. This position plays a vital role in ensuring smooth day-to-day functioning of the foundation, particularly in facilitating services and programs for Hajj pilgrims and their families.

Key Responsibilities:

  • Provide high-quality administrative support to the management team and all departments of the foundation.
  • Handle day-to-day correspondence, including drafting letters, emails, official notices, and internal memos.
  • Maintain proper filing systems (both physical and digital) for all documents, records, reports, and important paperwork related to Hajj services, welfare programs, and organizational operations.
  • Coordinate and organize internal and external meetings, workshops, training sessions, and pilgrim-related events, including scheduling, venue arrangement, minute-taking, and follow-up actions.
  • Assist in procurement processes, including raising requisitions, obtaining quotations, preparing comparative statements, and ensuring timely purchase of office supplies, equipment, and materials required for Hajj support activities.
  • Maintain and update office systems, records, databases, and inventory of assets to ensure efficiency and accuracy.
  • Support the preparation and compilation of reports, proposals, and documentation required for donors, government authorities, and internal reviews.
  • Manage travel arrangements, accommodations, and logistics for staff and volunteers involved in Hajj-related missions when required.
  • Act as a focal point for internal communication and ensure timely dissemination of information across all departments.
  • Assist in organizing pilgrim orientation sessions, pre-Hajj briefings, and post-Hajj feedback programs.
  • Handle incoming and outgoing calls, visitors, and inquiries with professionalism and empathy, especially those related to Hajj welfare services.
  • Ensure strict confidentiality of sensitive information related to pilgrims, donors, and organizational matters.
  • Perform any other administrative and support tasks as assigned by the supervisor or management.

Requirements & Qualifications:

  • Bachelor’s degree in Business Administration, Public Administration, or any relevant field (Master’s degree will be preferred).
  • Minimum 2–4 years of relevant experience in administrative roles, preferably in NGOs, welfare organizations, or institutions serving Hajj/Umrah pilgrims.
  • Excellent written and verbal communication skills in English and Urdu.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with digital filing systems and office management software.
  • Experience in procurement, event coordination, and record management will be an advantage.
  • Ability to work effectively under pressure and handle multiple priorities simultaneously.
  • Strong interpersonal skills with a polite, helpful, and service-oriented attitude.
  • Commitment to the mission and values of Endless Welfare Foundation, with genuine interest in serving Hajj pilgrims and the Muslim community.
  • Candidates with prior experience in Hajj/Umrah welfare organizations or religious welfare foundations will be given preference.
